Senior Billing Specialist

Location: Deer Park, NY
Salary: $80,000–$100,000
Type: Full-Time | On-Site

An established and growing project-based contractor is looking for an experienced Senior Billing Specialist to join its accounting team in Deer Park.

This is not a basic invoicing position. You will take ownership of complex project billing from initial project review through final invoice submission, working across construction and public-sector contracts where accuracy, documentation, and contract compliance are critical.

The business works extensively across government, municipal, institutional, and commercial projects, including work with New York City agencies.

The Role

You will independently manage billing across multiple projects and customers, including:

  • Progress, milestone, contract, T&M and change-order billing

  • Reviewing contracts, purchase orders and schedules of values

  • Preparing and submitting project invoices from start to finish

  • Reviewing labor, materials, project costs and approved change orders

  • Preparing supporting documentation for government and municipal billing

  • Prevailing wage and certified payroll documentation

  • Timesheets, sign-in/sign-out records and other contract-specific backup

  • Working with Project Managers and Sales to resolve missing or incorrect information

  • Investigating rejected invoices and coordinating resubmissions

  • Monitoring billing schedules and customer deadlines

  • Supporting month-end and project closeout billing

  • Improving billing controls, procedures and documentation

  • Becoming a resource and mentor for other members of the billing team

What We’re Looking For

  • 5+ years of hands-on project or construction billing experience

  • Personally responsible for preparing, reviewing and submitting invoices

  • Strong understanding of progress billing, contract billing, T&M, change orders and retainage

  • Experience interpreting contracts and customer-specific billing requirements

  • Construction, electrical, low-voltage, HVAC, engineering or a similar project-based background

  • Government, municipal, public works or NYC agency billing experience strongly preferred

  • Experience with prevailing wage and/or certified payroll highly desirable

  • Strong Excel and ERP/accounting-system skills

  • Excellent attention to detail and ability to manage multiple billing deadlines

Experience with NYC agency contracts, public works billing, certified payroll or prevailing wage projects would be particularly valuable.
